How to Make a Receipt in Word

A simple, step-by-step guide to creating a receipt in Microsoft Word, with free templates to get you started.

Choose a template or blank document

Start from a Word template or a blank document. A template gives you a ready-made table and layout; a blank document lets you design your own.

Build the receipt table

Insert a table with columns for the item details and amounts. A clear table keeps the receipt easy to read.

  1. Insert a table with 4 columns.
  2. Add the headers Description, Qty, Unit price and Amount.
  3. Leave space below for the subtotal, tax and total.

Enter and check amounts

Type in the items, quantities and prices. Work out each line amount, the subtotal, the tax and the total with a calculator, then check them again.

Check totals manually in Word.

Word does not calculate the totals in these tables, so double-check every amount before you save or print.

Adjust the layout

Make the receipt clean and easy to read. Add a title, your business details and a thank-you line, then adjust fonts, spacing and borders.

  • Add a clear title, for example Receipt.
  • Include your business details and the payer.
  • Adjust fonts, spacing and borders.
  • Keep the design simple and easy to read.

Save as PDF

Save a PDF copy when you are finished. It keeps the layout the same on every device and is easy to print or send. Menu names can differ between Word versions.

  1. Choose File → Save As (or File → Export).
  2. Pick PDF as the file type.
  3. Give the file a clear name and save it.

Review before printing

Check every detail before you print or send the receipt: the amounts, the layout, and that everything fits on one page.

  • Verify the business and payer details.
  • Check every item amount and the totals.
  • Make sure the receipt fits on one page.
  • Print a test copy if needed.

Layout tips

Keep rows together

Keep the item rows and totals on one page. In Table Properties, turn off "Allow row to break across pages".

Avoid a split receipt

If the table is too long, the totals move to the next page. Reduce row spacing or delete empty rows.

Page size tips

The templates use US Letter (8.5 × 11 in). For A4 (210 × 297 mm), choose Layout → Size → A4; the tables resize to the page.

Questions

Can I make a receipt in Word online?

Yes. Word for the web can open and edit the .docx templates. To save a PDF there, use the Download as PDF option in the File menu. Menu names can differ between versions.

What if my table splits across pages?

Reduce row spacing or margins, use a slightly smaller font, or delete empty item rows. In Table Properties, turning off "Allow row to break across pages" keeps each row whole.

Can I use this in Google Docs?

Google Docs can open .docx files. The layout may look slightly different, so check the table and the totals before you print.
