How to Make a Receipt Template

Build once. Update carefully for every payment.

Create a clean, reusable receipt template with the right fields, a clear layout and totals that are easy to check.

Browse templates

Choose the transaction type

Decide what kind of payment the receipt is for. Different transaction types need different fields.

Business sale

Products or services sold to a customer, such as retail or freelance work.

Rent payment

Monthly rent or property payments.

Cash payment

Cash received, with change or a balance due.

General use

A flexible receipt for any other payment.

Separate fixed and changing fields

A good template keeps permanent details apart from the information you change for each payment.

Business fields (usually fixed) Transaction fields (new every time) Monetary fields (recheck every time)
Business nameReceipt numberItem names
Business addressDate of paymentQuantities
Contact detailsCustomer nameUnit prices
Logo (optional)Payment methodSubtotal, tax and total
Terms or notesNotes (optional)Currency symbol

Arrange items and totals

List each item or service with a clear description, quantity, unit price and amount. Add the subtotal, tax if it applies, and the total.

Review the layout

Fill in a few sample payments to check that everything fits, the totals are right and the receipt is easy to read.

Reuse without stale information

Keep the template and reuse it for later payments. Each time, update the changing fields so nothing carries over from the previous payment.

Before and after: updating a receipt template

The same template updated for a new payment. The changing details are replaced, the items are updated and the total is recalculated: $22.00 becomes $20.00 before tax, and $23.10 becomes $21.00 with 5% tax.

Before (previous payment)
  • Customer name changed
  • Receipt number and date updated
  • Items and quantities updated
  • Total recalculated: $23.10 → $21.00
After (new payment)

About currency symbols

You can change the currency symbol (for example $, € or £), but this does not convert the amounts. Enter the prices in the currency you use.

Templates you can reuse

Downloaded Word and Excel files stay on your device: save a new copy for each payment. The online editor keeps one draft per page in this browser; download each receipt before you start the next one.

Frequently asked questions

What fields should I change for each new payment?

Update the receipt number, date, customer name, payment method and any notes. Then recheck item names, quantities, unit prices, subtotal, tax and total. Your business name, address and contact details usually stay the same.

How do I handle different currencies?

Changing the currency symbol only changes how amounts are shown; it does not convert them. If you switch currencies, enter the prices in the new currency yourself.

What happens if I forget to update the totals?

In the online editor and the Excel template the totals update when you change the items. In a Word template the totals are typed by hand, so an old total stays next to the new items until you correct it.
